You either built systems that held, or things fell apart in front of guests.In the nonprofit sector, I built organizational infrastructure across departments, placed and supported both staff and volunteers, and developed the documentation that allowed each department to function without depending on any one person. Archive
A volunteer program had four people and no infrastructure. By the time the work was done, there were five hundred volunteers, documented systems, and a structure that did not depend on any one person to function.

A director had fifteen years of institutional knowledge and nothing written down. She was the organization. We changed that before she stepped back, so the work could continue without her having to stay.

What you receive depends on the need. It may include a program framework and funding narrative, a succession briefing, an operational continuity package, a relationship map, documentation of systems only one person understands, or a combination.Framework is designed to fit an operating budget.

Archive
Your organization has records, files, and institutional knowledge spread across drives, inboxes, old websites, and people's memories. The collection is valuable. No one can find anything, and no one has time to organize it.Archive stabilizes what you have and builds the documentation layer underneath it. The work may include archive preparation, OCR processing, source organization, targeted interviews, and a fuller knowledge-capture process.Typical scope: 90 to 175 hours
Typical investment: $15,000 to $30,000
What you receive:An organized and searchable source collection. A source register. Succession and knowledge-transfer documentation. Depending on scope, you may also receive a chronology, a relationship and role map, and a continuity handoff package.Archive engagements can be phased across two fiscal periods when needed.

Stewardship
Your organization has decades of history, a founder or leader preparing to step away, and institutional knowledge that cannot be reconstructed once the people who hold it are gone.Stewardship is the full engagement. I build the archive, conduct oral history interviews, reconstruct the organization's development over time, draft a verified institutional history, and prepare a comprehensive handoff package for the people who will carry the work forward.Typical scope: approximately 500 hours
Typical investment: starting at $80,000
What you receive:A verified institutional or program history. An organized and searchable archive. An oral history record. A chronology and relationship map. An evidence table linking claims to sources. A succession briefing. A source register. A handoff package with recommendations for future research and maintenance.Every major claim in the final document is checked against the source collection. The document distinguishes what the evidence supports from what remains interpretive, incomplete, or unresolved.Stewardship engagements are typically supported by foundation funding, major donor investment, or institutional grants. Research and history
Some organizations need a carefully researched answer to a specific question: a program history, a case study, a timeline, a board briefing, or a grant report. This work draws on the Archive and Stewardship methodology and is scoped within either engagement.

The process
The depth of each phase scales with the engagement. The sequence holds across all three tiers.Discovery and scoping. We clarify the purpose, the audience, the available sources, and the deliverables. The scope of work identifies what is included, what the client provides, and what happens if the work changes.Source collection and preservation. I locate, receive, and preserve the relevant materials: digital files, websites, recordings, photographs, shared drives, and documents supplied by the client or identified through research.Preparation and organization. Raw sources are converted into usable form. This may include OCR processing, file organization, duplicate identification, metadata, and quality review. For Framework, this phase is minimal. For Archive and Stewardship, it is substantial.Reconstruction and analysis. I identify people, roles, organizations, decisions, relationships, and patterns across time. The depth ranges from a targeted knowledge map in Framework to a full analytical reconstruction in Stewardship.Drafting and verification. I develop the written deliverable for its intended audience and check claims against the source collection. Verification is proportional to the tier: a Framework succession briefing is reviewed for accuracy; a Stewardship history is verified at the paragraph level.Handoff. You receive the final document, supporting files, and a clear guide to what was produced, how it is organized, and what remains for future work.

I work with digital tools, automation, OCR, text processing, and AI-assisted workflows to make large or disorganized collections manageable. AI may assist with processing, comparison, transcription support, and organization. It is never treated as an authority.
